Approving TimeCards should be done on a weekly basis, as close to the week-ending date as possible.  Click on the video link at the bottom of the page to view the process for approving TimeCards or use following the steps outlined below to complete this process:


Step 1
Navigate to Reports > My Views and select the View called: Weekly: Review WorkSegments and Approve.


Step 2
Confirm the date range at the top of the screen and change it if necessary.

Note: This date range needs to encompass the work dates that you're trying to approve.  If the dates are not set "wide" enough, you might not find the WorkSegments you're trying to approve.

Narrow your search, as desired, by selecting the location/department for your approvals.  You can also use the field selectors to narrow to a certain Labor Supplier, etc.

Then, click the Generate View button at the bottom of the page.

Step 3
Click on the Approve hyperlink located in the light blue area Action Item area.


Step 4
Choose the week-ending day and click the Select button.


Step 5
Choose the week-ending date from the drop-down box.  Then, click the Select button.


Step 6
Review the hours, shift and workgroup.  Remember to uncheck TimeCards you do not intend to approve.



Note: The edit and info hyperlinks are available for corrections or to view Order information with the financial agreement.



Step 7
Click the Approve Checked TimeCards button.
 
Step 8
Receive confirmation that TimeCards were approved and return to the View.
 



When completing approvals it is highly recommended that you click on SHOW FULL DETAILS and sort by:

  • total billable hours to review the shortest (especially zero) segments and longest segments (especially those with more than 24 hours in a day). 
  • bill rate (filter by supplier, job selected at the Kiosk, etc.) to confirm you are being billed the correct rate.

Remember, your approval is the same as signing a check to your supplier!  So it is very important that you use the tools available to ensure your approvals are accurate.
