WorkRecords invoices are generated at the end of each month based on the number of TimeCards with financial value approved during that month. Payment is due by the 15th of the following month, and invoices can be paid using various methods.  For added convenience and peace of mind, you can set up auto-pay for your invoices by contacting accounting@workrecords.com. Auto-pay ensures:

  • Uninterrupted Service: Avoid delays or disruptions caused by late payments.
  • Time Savings: Eliminate the need to manually process payments each month.

Key Points About TimeCards and Invoicing:

  • WorkRecords invoices are calculated using approved TimeCards during the billing month.
  • Invoices are based on the TimeCard approval date, not the work week’s ending date.
  • Suppliers can view a breakdown of TimeCards billed using the steps below.

How to View TimeCards by Customer for a Monthly Invoice:

  1. Log in to WorkRecords:
    Access your account and navigate to Reports > My Views.

  2. Select a View:

    • Choose Export TimeCards with AddOn Details or Search TimeCards.
  3. Set Date Ranges:

    • Update the Time Card Ending Date Ranges to cover a broad period (e.g., 3–4 months before and 2 weeks after the month in question).
  4. Filter by Location (if applicable):

    • Open the My Selling Locations tree and check your local office.
  5. Filter by Bill Amount:

    • Click on Total Bill Amount, change the parameter to Greater Than, and enter 0.
  6. Filter by Approval Date:

    • Select Time Card Approval Date, change the parameter to Between, and input the start and end dates of the month.
      • Example: For April invoices, enter 4/01/2024 and 4/30/2024.
  7. Group by Buyer:

    • Click the Group Order box to the right of the Target Worksite field name. This groups approved TimeCards by customer.
  8. Generate the View:

    • Click Generate View to display the report.
