The key difference between EINs and Assignment Numbers is their scope and purpose: EINs apply universally to all orders for a worker, regardless of the Labor Buyer, while Assignment Numbers are specific to a particular order confirmation and can vary by shift or shift differential. This distinction ensures flexibility for tailored tracking while maintaining consistency where needed.


An Employee Identification Number (EIN) can be added to a worker's profile in WorkRecords. Here are key considerations for managing EINs:

  • Consistency Across Orders:
    An EIN should only be used when it applies to all Orders for the worker, regardless of the Labor Buyer.

  • Adding an EIN:
    Labor Suppliers can add the EIN through the Search Orders and Templates View.

  • Automatic Application:
    Once added to one Order, the EIN is automatically applied to all active and inactive Orders associated with the worker.

  • Removing an EIN:
    Removing an EIN will impact all active and inactive Orders linked to the worker's SSN.


Steps for entering an EIN:

  1. Navigate to Reports on the blue menu bar, choose My Views and then click on the View called: Search Orders and Templates*.

  2. Search for the worker and then click the OrderNums hyperlink in the light blue Action Items area near the top of the screen.

              

  3. Finally, enter the EIN that you wish to assign to this worker and click the Done Working button to complete the update.


         



Assignment Numbers can be added to a worker's Order in WorkRecords. Here are the key points to keep in mind:

  • Order Specificity:
    Assignment Numbers can designate a unique number specific to a particular order confirmation.

  • Adding Assignment Numbers:
    Labor Suppliers add Assignment Numbers through the Search Orders and Templates View.

  • Shift-Specific Numbers:
    If shifts or shift differentials are relevant, you can assign a unique number for each shift option.


Steps for entering an Assignment Number:


  1. Navigate to Reports on the blue menu bar, choose My Views and then click on the View called: Search Orders and Templates*.

  2. Search for the worker's Order and then click the OrderNums hyperlink in the light blue Action Items area near the top of the screen.

              

  3. Finally, enter the Assignment Number that you wish to assign to this worker's Order and click the Done Working button to complete the update.

              



EIN Conflict: Finding the Worker Profile Assigned to an EIN:


If you try to enter an EIN for a worker and receive a message that the EIN is already in use, you can look up which worker it is assigned to:

  1. Go to your Search Orders and Templates view.

  2. Change the drop-down box in the upper left corner to ALL.

  3. In the Labor Supplier EIN field, enter the EIN.

  4. Click Generate View.

You should then see the name of the worker the EIN is already assigned to, along with the SSN on that worker profile.

  • If the worker name matches the person you’re trying to enter it for now, it’s possible that a second worker profile was created under a different SSN.

  • Check the Order you were originally trying to place this EIN on and confirm the SSN.


If you find that the SSN was incorrect, the Support team can merge the duplicate profiles for you—just open a Support ticket and request that the profiles be merged.  Please provide the:

  • name of the worker
  • incorrect SSN listed in WorkRecords
  • correct SSN for the worker
  • confirm the EIN that should be associated
