Depending on the View selected, one or more search criteria sections may be available from which to choose, including

  • Date Selection
  • Tagging Tree Selectors
  • Field Selectors

Once the View has been generated, the following will be available to provide additional tools and functionality:
  • Action Items
  • Info Hyperlink



Date Selection:

The date section allows you to search for TimeCards or WorkSegments by a date or date range.  

The Work Date Range allows the View to retrieve data from every date entered.  Please be sure to make this selection carefully.  Some Views have a single date selector, while others have a range.  Choosing an incorrect date range is a common reason for search results not returning enough or even returning too many results.  If the View does not return the desired results, a great place to check first is the date range entered.


 

TimeCard Ending Date Ranges allow the View to retrieve data from all of the work dates associated with the TimeCard.  For example, if the week-ending date was 12/3/14, the work dates included on the TimeCards would be the full 7-day work week (11/27/14 to 12/3/14).  The date range reflected in the screenshot below has 8 days included, therefore it is possible to retrieve TimeCards with WorkSegments occurring on 11/26/14 through 12/9/14.  As mentioned above, if the View does not return the desired results (more or less data than anticipated), a great place to check first is the date range entered.





Tagging Tree Section: (Note: This section is not available to Suppliers.) 

Tagging (reporting categories) options are displayed in this section, allowing a user from a Labor Buyer to search by some or all company-specific tags.  Note: This section is only available on WorkSegment-level Views.  The Tagging Trees section also includes a checkbox option to Summarize by Tagging Information, which presents a summary of the resulting data (shown in the screenshot below on the right), rather than all of the individual details.  This summary is especially helpful on hours-in-progress Views or approved WorkSegment reports. 


         


Why are Tagging Views not available to Suppliers?
 

Virtually all Labor Buyers organize their data differently to meet their needs.  Many Labor Buyers in WorkRecords have hundreds of locations and there are thousands of unique job activities across all Labor Buyers.  Since most Labor Suppliers serve more than one Labor Buyer, combining this data would create reports that would be virtually unreadable and nearly impossible to run.  Instead of providing the Tagging Tree, WorkRecords offers Labor Suppliers a View with a summary of Tagging for each WorkSegment in a table.   



Field Selectors: 

Field Selectors allow you to search by additional information including worker name, Labor Supplier, hours, bill rate, invoice number, etc.  This is the most powerful portion of a View’s search criteria.  Field Selectors operate as filters, enabling the results to be narrowed based on certain criteria.  When you click on the name of one of the Field Selectors, a search Qualifier and an empty Parameter field will appear next to it.


Qualifier 

Use the pull-down arrow to change the default Qualifier selecting how WorkRecords will search for the data entered in the Parameter field.  The choices available change depending on the type of field selected.


Numeric or Date fields:  (Rates, Work Date, etc.)


Text Fields:  (Worker Name, Supplier Name, Location, etc.)

Parameter 
Use this section to enter specific search criteria on which to filter the results, such as a name or Target WorkSite.  The goal of the search shown in the screenshot below is to find Valerie Morrison working at the Oceanside restaurant.  Because the Qualifier "contains" was chosen, entering "ocean" will retrieve all results with the word "ocean" in it.  The same is true for "Morrison."


         

Helpful Hint:  When searching in WorkRecords for names, locations, etc., it is usually best to input only a portion of the text.  While this may return more results than needed, the user will be able to quickly find the results needed.  Remember, a wider search can always be narrowed. 



Sorting and Grouping:

You can sort and/or group results by using the two columns called Sort Order and Group Order.


Sort Order:

Using one or more sort options, you can determine the order in which the results are listed (alphabetically, chronologically, etc.)  Click once on the Sort Order box next to the field to sort.  A "1" will be displayed indicating that this is the primary sort.  If a secondary sort is also needed, click once in the Sort Order box next to the other field.  A "2" will then be displayed indicating that this is the secondary sort.  To reverse the sort order, click a second time on the box. The number changes to "-1" or "-2" indicating a reversed sort order.  

In the example shown below, the first sort is completed on the WorkClock Group (Dept), while the second is created in reverse order by Billable Hours.  This will organize the results by WorkClock group from smallest total hours to greatest.

Group Order: 
Grouping is a useful subtotal feature that creates a snapshot of the results.  For example, the data can be grouped by Labor Supplier to show how many Orders each Labor Supplier has open.  The resulting group will display a subtotal or count of any field that has been set up to be included in the grouping.  Click once in the Group Order box next to the field of the group.  A "1" will be displayed.  As with sorting, you can group by more than one field.  Simply click again next to another field selector. 


In the example shown below, two groupings have been set up.  The first groups by WorkClock Group and then the second by Worker Name.  The results are displayed in a mini-report that subtotals both selectors.  The summary shown below displays a "count" of the lines of data for each grouping as well as the Total Billable Hours.

Action Items

Action Items are used to complete a variety of tasks in WorkRecords.  Both Labor Buyers and Labor Suppliers have some shared Action Items such as the option to Export data and access ChartIt.  Other Action Items may be available, including registering magnetic swipe cards and updating rates (Labor Suppliers), and approving TimeCards (Labor Buyers).  Simply click on the desired Action Item hyperlink to start the action.


         


Info Hyperlink

The Info hyperlink is used to view information and complete a variety of tasks.  The options available in the pop up menu after clicking on the Info hyperlink vary depending on the View and the user type (Labor Buyer or Labor Supplier). Some Info hyperlinks allow access to the TimeCard Editor or the ability to view the Invoice on which a TimeCard or WorkSegment was included.  Most Info hyperlinks provide access to the Order Confirmation and Labor Suppliers will find the ability to close Orders through the Info hyperlinks.

         

     

Using Advanced Functionality within View Details:


Built into the WorkRecords details page is additional "advanced" functionality that allows you to move columns, search for items on the page, sort columns, and even use filters.  


Using Advanced Sorting Features in Views


This functionality uses the latest programming features and older Internet browsers are not optimized to handle this functionality.  You may also find that reports with thousands of lines of data run slower and depending on your network connection may even timeout.  You can change your preferences for this functionality under My Account > Browser Settings. 


Common Views

While several Views are available for all users, different columns may be available.  For example, Labor Buyer Views never contain pay rate or Social Security Number information and, of course, some functionality is unique to just the Labor Buyer's or Labor Supplier's responsibility.
