Changing a company's timecard week-ending day is a little more complex than just making a change to the day-specified in the software. During the transition, the change will result in one payroll week having more than 7 days and one having less than 7 days. The steps to complete the process are:

  • All existing orders (with what will be the old week-ending day) need to be terminated. WorkRecords will help you determine the termination date to complete/terminate those orders.  
  • WorkRecords will change the week-ending day to the new day
  • After the change is made by WorkRecords, new templates will need to be created, and then orders created with the new start date 


Since there will be two weeks that are not 7-day work weeks (one will be more and the other will be less), overtime calculations must be monitored carefully based on rules determined by the Supplier about worker pay and the Supplier's back office will be responsible for navigating any OT pay calculations through the week-endings. The Labor Buyer and Labor Supplier should address invoicing for OT for the longer work week as well. 

 

Facilitating this change in WorkRecords requires two calls with the Labor Supplier. One call will address properly closing out all existing orders (we recommend that 1.5-2 hours be blocked out immediately following the call to complete this) and reviewing instructions for creating new templates. The second call will happen once all orders have had the termination date entered to ensure that everything is ready for the transition.  

 

Depending on if week-ending day is moving in (i.e. from Friday to Saturday) or backward (i.e. from Friday to Thursday), the Labor Buyer may need to be prepared to immediately approve all timecards on the "old" week-ending. In some cases, that might mean approving a timecard with only a single day in the week as the "new" week will begin immediately after.

 

WorkRecords must be notified as soon as possible when a change in the week-ending date is being considered so we can assist with developing the timeline.
